Privacy Policy

1. Information We Collect

Account information. When a business account or staff account is created, we collect the name, email address, role (such as admin, manager, or cashier), and password of each user, along with business details such as company name, address, and phone number. Passwords are stored in hashed (encrypted) form and are never visible to us in plain text.

Business and transaction data. In the course of using the Service, businesses enter and generate data including sales records and receipts, product and inventory records, supplier and customer records, expenses, and reports. This data belongs to the business that created it.

Device and technical information. When you use the mobile app, we collect a push notification token (so we can deliver notifications you have enabled), and basic technical information such as device type and app version. We also keep activity logs (such as logins and key actions) for security and audit purposes.

What we do not collect. We do not collect your precise location, your contacts, your photos, or any data from other apps on your device. The Service does not display third-party advertising and does not use advertising trackers.

2. How We Use Information

• To provide and operate the Service which includes processing sales, tracking inventory, generating reports, and syncing data between the web and mobile apps.
• To secure accounts which includes authenticating logins, enforcing role-based access, and maintaining audit logs.
• To send service notifications you have enabled, such as new-sale alerts and low-stock alerts.
• To provide customer support when you contact us.
• To maintain, troubleshoot, and improve the Service.

We do not sell, rent, or trade your personal information or your business data to anyone. We do not use your data for advertising.

3. How Information Is Shared

We share information only with the service providers needed to run WAK POS, and only to the extent necessary:

• Cloud hosting - our application servers and database are hosted with reputable cloud providers (currently Heroku and MongoDB Atlas), which store data on our behalf under their own security safeguards.
• Push notifications - notification delivery is handled through Expo and Google (Firebase Cloud Messaging) for Android devices.

Within a business account, data is visible to that business's authorized users according to their role for example, an owner can see sales recorded by their cashiers. Data is never shared between different businesses using WAK POS.

We may disclose information if required to do so by law or a valid legal process.

4. Data Security

We take reasonable technical and organizational measures to protect your data, including encrypted connections (HTTPS/TLS) between your device and our servers, hashed password storage, role-based access controls, and authentication tokens that expire. No method of transmission or storage is 100% secure, but we work to protect your information using industry-standard practices.

5. Data Retention & Deletion

We retain business and account data for as long as the business maintains an active WAK POS subscription, and for a reasonable period afterward in case the subscription is renewed. Certain operational logs are automatically deleted after a limited period.

A business may request deletion of its account and associated data at any time by contacting us using the details below. We will delete the data within a reasonable period, except where we are required to retain certain records by law.

6. Your Rights

Depending on your relationship with the Service, you may request to access, correct, or delete personal information we hold about you. Staff users should direct requests through their business owner or administrator where appropriate, since the business controls its own records. You can also contact us directly with any privacy request or question.

7. Children's Privacy

WAK POS is a business application and is not directed at children. We do not knowingly collect personal information from anyone under the age of 18. If you believe a child has provided us personal information, contact us and we will delete it.

8. Changes to This Policy

We may update this Privacy Policy from time to time. When we do, we will update the "Last updated" date at the top of this page. Material changes will be communicated to our customers through the Service or by email.
